Capturing item tracking information

It's possible to capture item tracking data in Continia Document Capture, allowing for better inventory accuracy, traceability, compliance, and cost management. When the document is registered, captured information such as an item's warranty date is added to the created invoice – and you can then track the item directly in Microsoft Dynamics 365 Business Central.

You can use the following five fields for item tracking purposes:

  • Expiration Date
  • Lot No.
  • Package No.
  • Serial No.
  • Warranty Date

Note

If you don't see the above-mentioned fields, either import the configuration files or upgrade to the latest version of Document Capture.

Considerations

The capture of item tracking data is only possible:

  • Within the PURCHASE category.
  • When creating invoices.
  • For PDF documents.

Requirements

Before you can capture item tracking information in Document Capture, you need to:

  1. Enable line recognition on the desired template.
  2. Add at least one of the following fields to the desired template. These are the fields that define item tracking in Business Central.
    • Lot No.
    • Package No.
    • Serial No.

To capture a single item tracking point per line

  1. Search () for and select Document Categories.
  2. Click the PURCHASE code to open the document journal.
  3. Click the No. of the desired document to open the document card.
  4. Make sure that at least one of the required fields has a captured value.
  5. On the action bar, click Home > Register.

To capture multiple item tracking points per line

  1. Search () for and select Document Categories.
  2. Click the PURCHASE code to open the document journal.
  3. Click the No. of the desired document to open the document card.
  4. On the action bar, click Template > Template Card.
  5. On the Purchase Documents FastTab, under Item Tracking, click Set up Tracking Expressions.
  6. Select an item tracking type and, on the action bar, click Edit.
  7. On the Item Tracking Expr. Card, in the Tracking Expression field, enter the expression as it appears on the document. E.g.: 'Serial No.' or 'Pckage No.'
  8. If multiple serial numbers, for example, apply to the same line, define the delimiter that separates these values. E.g.: , (comma) or ; (semicolon).

Note

By default, quantities are automatically assigned to serial numbers. If the tracking expression doesn't contain a quantity for a serial number, a quantity of 1 is automatically assigned.

  1. Fill out the fields under Expiry Date and Warranty Date, if the lines contain this information.
  2. Return to the document card and, on the action bar, click Home > Recognize Fields.
  3. To check the captured information, click a Yes value under the Has Tracking Value on the Lines FastTab.

Tip

If a document has both line- and column-based tracking values, follow the process above to capture the line-based values and manually capture the column-based values. For more information, see To capture line fields.
