Working with customer statement payment references

A customer statement payment reference is a unique reference that Continia Banking generates for a customer statement and stores for later matching. When the customer pays and you import the bank statement, Continia Banking uses the reference to identify the statement and apply the payment automatically.

To set up customer statement payment references

When you turn on the Customer Statement Payment Reference feature in Continia Feature Management, Continia Banking creates a default payment reference template and a default payment reference rule. In most cases, you can use these defaults directly and only need to review them to confirm that they match your requirements.

The payment reference rule defines how Continia Banking identifies payment references in imported bank transaction text and uses them for automatic matching. You can modify the rule if your payment reference format or transaction text structure requires it.

To review the setup:

  1. Search for and select Payment Reference Templates.
  2. Verify that the customer statement template exists. For more information, see Setting up payment references on sales documents.
  3. Search for Payment Reference Rules.
  4. Verify that the customer statement payment reference rule is enabled. A default rule is created when you enable the feature. The rule defines how Continia Banking identifies payment references in imported bank transaction text and uses them for automatic matching. You can modify the rule if your payment reference format or transaction text structure requires it. For more information on payment reference rules, see Introducing payment reference rules.
  5. Use the test functionality to confirm that sample references can be identified correctly.

To verify the customer statement reference matching setting

One setting controls whether incoming bank transactions are checked against the stored payment references. Verify the setting before you print your first statement.

  1. Search for and select Banking Import Setup.
  2. In the Matching section, confirm that Customer Statement Reference is set to Yes. This setting controls whether incoming bank transactions are checked against the stored payment references during automatic matching. You can deselect the field temporarily without disabling the feature.

To send a customer statement

When you generate a customer statement using a supported layout, review the payment reference shown on the document and send the statement to the customer. A unique payment reference is generated for the statement and stored for later matching.

Hinweis

If you regenerate or resend a statement, a new payment reference may be created. Payments are matched against the reference that was active when the customer made the payment.

To view generated payment references

  1. Search for and select Customer Statement References.
  2. Review the generated references. On this page, you can do the following:
    • Verify which reference was sent to a customer.
    • Investigate payment matching issues.
    • Review the status of previously generated references.

To reconcile customer payments

When you import a bank statement, Continia Banking examines the payment information and searches for customer statement references. If a matching reference is found, Continia Banking does the following:

  • Identifies the related customer statement.
  • Retrieves the customer ledger entries associated with that statement.
  • Creates a payment application proposal automatically.

Matched entries are shown as having been identified through a payment reference match.

To reprint customer statements

If a statement is reprinted before the customer pays, the original reference remains valid for previously distributed statements. New statements may contain a different reference. Payments are matched using the reference included by the customer in the payment transaction.
