Expense Management 2026 R1 supports the following version of Microsoft Dynamics 365 Business Central: Business Central 2026 R1 (v28).

Expense Management 2026 R2, Service Pack 1, Hotfix 0

Release date online: October 30, 2026
Release date on-premises: October 30, 2026
App version: 29.1.0

New or changed functionality

Functional areaDescriptionID
Per DiemSince version 27.0, per diems posted to a project no longer showed the Project No. and Project Task No. on the resulting G/L entries. Per diems without destinations now carry the project on the G/L entries again. Per diems with destinations still post the project separately for each destination, so these fields stay blank on their G/L entries.79942
Per DiemAdded support for Finnish per diems. Allowances are calculated as Finnish rules define them, in travel days of 24 hours counted from departure, with the hours after the last full travel day evaluated separately, and with country-specific rates for foreign travel. Per diem calculations for other countries remain unchanged.81323
Per DiemWhen Country Specific Per Diems is turned off, the Per Diem Group card now shows the rates of the group in a Rates part, with the newest rate first. You can open, edit and create rates from the part on the Per Diem Rate card. When you drill down on Per Diem Rates for a new line in Posting Groups, you are again asked to set up the missing rate instead of seeing all rates of the group.82955

Bug fixes

Functional areaDescriptionID
Document ApprovalThe approval list in the Web Approval Portal could fail to load when it included a per diem from another company, and Expense Management was not set up in every company. If Enable Time Zone Handling differed between the companies, the per diem could also show a date that was one day off. A per diem now uses the Expense Management setup of its own company.84862
Document ApprovalOn the Approval Entries (Continia Expense Management) page, selecting an attachment from the Attachments dropdown of the document viewer showed the wrong file when more than one expense on an expense report had attachments. More often than not it was the first attachment of the report. The selected attachment is now shown correctly.85090
ExpensesWhen a new expense, mileage, or per diem was added to an expense report on the Expense Report card, it did not always inherit the report's values, such as Country/Region Code, Currency (expenses only), Project No., and Project Task No. Now new lines always take these values from the expense report header.78778
ExpensesWhen posting an expense with allocations that were matched to a bank transaction, one balancing entry was previously created on the intermediate expense account for each allocation's different dimension set. The account would then become balanced in total but not per dimension value. A single balancing entry with the expense's own dimensions is now posted, matching the bank transaction entry.82223
Expenses

When posting expenses, mileage, or per diems using Post Batch with Expense Posting set to Preferable Purchase Invoice in Setup (Continia Expense Management) and the standard Business Central purchase invoice approval workflow enabled, the following error could occur and the entire batch was rolled back:

  • Purchase Invoice must be approved and released before you can perform this action.
82475
Expenses

Previously, on tenants running in a language other than English, linking an expense to a purchase contract could fail with the following error when the contract's invoicing period used a time unit whose abbreviation differs between languages, such as week (uge) on a Danish tenant:

  • A time unit must be included in the date formula '-1U'. Valid time units are: D, WD, W, M, Q, or Y.

The expense can now be linked to the purchase contract regardless of the display language and the invoicing period used.

82517
ExpensesWhen the Expense Posting Setup (Continia Expense Management) page was opened from Expense Types (Continia Expense Management), the Type Code field was hidden, so it was not clear which expense type each line belonged to after the filter was removed. The Type Code field is now always shown on the Expense Posting Setup (Continia Expense Management) page.82949
ExpensesWhen Keep it was chosen in the Set Up Expense Types dialog, the confirmation message usually did not appear, although the expense types and posting setup lines were created correctly. The message has been removed, and the new expense types now appear on the Expense Types (Continia Expense Management) page right after the dialog closes.83135
ExpensesDutch: expense type is now translated consistently as Expense Type (plural Expense Types) in all texts.83140
General ApplicationWhen demo data was created with the Expense Management setup wizard in a W1 sandbox company with a non-English user language, most expense types were created without an Expense Posting Setup. The demo data is now created in the language of the imported setup configuration, so the expense posting setups are created for all expense types.76461
General ApplicationDanish: the options of the Project Line Type field now say Fakturerbar instead of Kontrakt.78715
General ApplicationExpenses and expense allocations could show an incorrect warning that a VAT rate was not configured for the country. The validation now checks whether the rate exists in the Receipt VAT Mapping for the country, so the warning appears only when the rate is missing.82154
General Application

When entering a value in a Decimal field on the Extra Fields page with the Business Central language set to Spanish, the following error occurred:

  • Se ha especificado un campo o atributo no válido para la propiedad Format. <Precisión,2:2><Formato Estándar,9>.

The issue could also occur in French or Swedish, and the fix in the previous release did not cover every case. This has now been fixed.

82348
General ApplicationWhen attaching a file from a new, unsaved Expense Report line, the file could be added to another user's document. Actions for expense, mileage, and per diem lines now always apply to the line being worked on.82909
General ApplicationOn the Configured Fields page, when opened from a module on the Configure Continia Expense Management page, Add offered fields from all modules, and after a field was added the page showed all modules again. Add now only offers fields for the module that you came from, and the page keeps showing only that module.82959
General ApplicationOn the Configure Continia Expense Management page, the links that open the Configured Fields page for Mileage, Per Diem, and Expense Report stayed active when the module was disabled. They opened an empty page where you could still add fields. The links are now disabled while the module is disabled.83030
General ApplicationWhen you enabled or disabled the Mileage or Per Diem module on a setup page, such as Configure Continia Expense Management, Mileage Setup (Continia Expense Management), or Per Diem Setup (Continia Expense Management), the change was not synchronized to Continia Online when you closed the page. The change only took effect in the Expense App and Expense Portal after the next scheduled synchronization. It is now synchronized when you close the page.83033
General ApplicationOn the Lookup Value Access per User/Group page, unticking a value for a user with full access created hidden access records under parent values the user could not access. Ticking a task under a project that the user's group did not grant was also silently lost, the legend disappeared after All Values was selected, and access inherited from the group was not always greyed out, including parent rows where every child value came from the group. This has now been fixed, and unticking the last child value under a parent now also removes access to that parent, while ticking a single child value under a parent without access grants only that child value.83651
General ApplicationWhen the document storage settings were changed without changing the actual storage location, all attachments were deleted from the archive without any error. This could happen, for example, when only the File Service Authorization Key or the Company Code in Archive setting was changed. Attachments are now moved only when the storage location actually changes. Changes to the File Service connection alone no longer move any files.83937
General ApplicationWhen running Start Trial again with the Expense Management trial wizard, newly invited users didn't receive the welcome email if a previously invited user appeared above them in the list, and the localized banners weren't shown. Invited users now receive the welcome email, and the wizard shows the localized banners.84151
General ApplicationWhen Lookup Value Access was opened from the Lookup Values page, it showed access entries for every value of the field type, not just the selected value. This happened when the access entries opened as a list instead of a matrix, which is the case with more than 100 Expense Management users or more than 25,000 lookup values. Only the access entries for the selected value are now shown.84514
General ApplicationPosting an expense matched to a card transaction failed with an inconsistency error in the G/L Entry table when the payment type had no Posting Account and Post at import was disabled. The missing posting account is now reported as an error on the expense before it is posted.85056
General Application

When Journal Templ. Name Mandatory was enabled in the General Ledger Setup, processing card transactions in the Bank Transaction Inbox (Continia Expense Management) failed with the following error, even though Expense Template Name and Expense Batch Name were filled in on the Expense Management Setup page:

  • Journal Template Name must have a value in Gen. Journal Line: Journal Template Name=, Journal Batch Name=, Line No.=0. It cannot be zero or empty.

The journal template and batch from the Expense Management Setup page are now used when card transactions are posted, and both fields are shown on that page whenever the setting is enabled.

85216
Platform and TechnologyWhen records used as lookup values for field types were changed frequently, the Expense Management Setup was updated on every change, which could cause performance issues and table locks. The setup is now only updated when a configured field type is affected, and it is no longer locked during the synchronization with Continia Online.73987

Expense Management 2026 R2, Service Pack 0, Hotfix 0

Pre-release date: September 15, 2026
Release date online: October 1, 2026
Release date on-premises: October 11, 2026
App version: 29.0.0

New or changed functionality

Functional areaDescriptionID
Country and RegionalFor Polish localization in the Expense Management (PL) app, restrictions were removed in Expenses for the Vendor No. field. You can also use the field for purchase invoice posting.79566
Card TransactionsWhen you open the Bank Agreements page, pending activation requests now automatically synchronize with Continia Online. If a bank agreement becomes activated, a notification informs you that you can download card transactions.78857
Expenses

You can now record the eDocument ID (NSeI Document No. in the Polish localization) and a new Missing NSeI No. Reason on expenses to support Polish KSeF reporting requirements. You can enable both fields for expenses through Configured Field Types in Business Central and in the Expense Portal/App.
During posting, the field values are transferred to the corresponding IT.integro Polish Localization fields, allowing them to propagate to the resulting ledger entries.

75426
Expenses

The following event publisher was added to Codeunit 6086330 "CEM Expense-Post". It provides an opportunity to modify filters set when determining whether to use an existing or create a new Purchase Invoice document during Expense posting:

  • OnFindExistingPurchaseHeaderOnBeforeFindFirst().
78919
Expenses

A new event publisher was added to the Canadian localization app to allow modifications to Sales Tax lines before posting:

  • OnBeforePostGLAccLine().
78349
Expenses

A dedicated Expense Setup page was added, bringing a consistent setup experience for Expense, Expense Report, Mileage, and Per Diem. You can open Expense Setup from the Modules list on the Expense Management Setup page (it is also available through Tell Me.)
When field setup cannot synchronize with Continia Online, closing a setup page now displays the issue as a message instead of preventing the page from closing.

82012
Expenses

You can now set up expense types with suggested G/L account mappings, instead of having to map them by hand.
From the Expense Types page, the new Set Up Expense Types dialog lists the expense types to be created and proposes a G/L account for each one. You can review and adjust each suggestion before anything is created, then choose Keep it to create the expense types and apply the accounts to the posting setup, or Discard it to close without changes.
Two suggestion methods are available. Continia AI compares your chart of accounts with the expense types and requires consent before any data is sent to the Continia AI service; you can review consent and change it in the dialog at any time. Name Matching works entirely inside Business Central without sending data anywhere, matching expense types to accounts by keyword. If AI consent was not granted, accounts are matched by name instead, and expense types with no confident match are left blank for you to complete.

80875
ExpensesNew payment types now default to a matching tolerance of 3% on amount and 4 days on date, replacing the previous 2% and 2 days. On the Payment Type Card, the Amount (%) and Date (Days) tolerance fields moved under Show more, so they're no longer shown by default.79721
ExpensesThe Country/Region Code field is now visible on expense pages when it is configured as a field type on expenses.75054
Expenses

Support for eInvoicing was added to Expense Management via integration with Continia Document Capture. You can now link expenses to eDocuments processed in Document Capture, allowing posting to be handled as a single accounting event and preventing duplicate purchase postings.
On the expense, the existing Applied Purch. Doc. No. field identifies the linked Document Capture document. When this field is populated, only the payment or refund side of the expense is posted, while the purchase posting is handled by the linked document. On the Document Capture side, a new Expense Entry No. field links back to the related expense.
Duplicate detection between Expense Management and Document Capture was also added. When an eDocument identifier is configured, the system scans Document Capture documents for matches based on document date, amount, and currency. If a likely match is found, configurable messages notify the bookkeeper about a possible matching document or warn that an expected eDocument has not yet been linked.
New eDocument Expected and Expense Expected flags make it possible to require pairing between expenses and eDocuments before posting. You can configure these settings in Payment Types, Document Capture Templates, or individual Document Capture Documents, allowing enforcement at both setup and document level.
A new Correct eDocument Dimensions setting was also added to Expense Management Setup. When enabled, dimensions from the expense transfer to linked Document Capture Document G/L entries after posting, using the Dimension Correction module. Correction history is tracked and you can view it using History of Dimension Corrections.

76723
ExpensesA drag-and-drop attachment area was added to the document viewer, allowing you to add attachments directly. Previously, the viewer could misleadingly appear as though an attachment existed and allow an empty file to be downloaded.80070
General ApplicationA new Configure Continia Expense Management page brings the most common setup options together in one place. You can enable modules, configure who submits and approves documents, and access the detailed setup for expense types, payment types, mileage rates, and per diem rates.81937
General ApplicationAction categories were removed from single actions. You can now access them directly with a single click, instead of them being nested under category groups.77710
General ApplicationYou can start a new trial setup wizard from a notification on the Employees list, allowing you to activate a free 30-day trial of Expense Management and invite colleagues to try it.81936
General ApplicationWhen a module, such as Mileage or Per Diem was disabled, its navigation action remained visible on the Continia User Setup Card. Module-specific navigation actions are now hidden when the corresponding module is disabled.79367
General ApplicationYou can no longer schedule the Send History to CO report as a recurring job.77695
General ApplicationPage Field Type Dependency had redundant actions that were not usable. They were removed.77711
General ApplicationThe Setup action category was removed from the Expense Management Setup page. You can now access all contained actions directly with a single click.77712
General Application

Default reimbursement settings were moved directly to the Continia User Setup and Expense User Group pages. You can now maintain the default vehicle, per diem group, and reimbursement methods for expenses, mileage, and per diems at the user or group level without using a separate Default User Setup page.
Existing defaults are migrated automatically when upgrading. Configuration files exported from earlier versions using the Continia Configuration wizard no longer transfer these settings.

77707
General ApplicationBank Transaction was renamed to Card Transaction.79238
General ApplicationIn the Danish localization, Afregning has been renamed to UdgiftRapport.80158
General ApplicationWhen leaving Lookup Value Access per User/Group with an invalid setup, users are now given the option to discard their changes.75793
General Application

Attachments from expenses and mileages are now shown directly on the posted entries and purchase documents they were posted to, so you can review a receipt without opening the original expense document. The attachment factbox appears on:

  • G/L Entries
  • Vendor Ledger Entries and Employee Ledger Entries
  • Project Ledger Entries
78914
General ApplicationImproved the Expense Management Setup page by splitting module-specific settings into dedicated Setup pages for Expense, Mileage, Per Diem and Expense Report. The main Expense Management Setup page now provides a cleaner overview with quick access to each module's configuration, and each module's setup is individually searchable from the Tell Me search.77715
General Application

You can now apply filters to DateTime fields and use advanced filter types, including ranges, when limiting the lookup values available in Configured Fields. This provides a more focused selection when choosing values from large lookup lists.
You can also review existing filters and refine them, to further limit the values shown to users.

78848
General ApplicationPerformance was optimized for the Lookup Value Access per User/Group page.75792
General ApplicationA new Both Users option was reintroduced in the Send Email To field on the Approval Sharing – Expense Management page. When selected, both the original approver and the substitute receive notifications when Send Status Email to Approvers is used.54832
General ApplicationWhen documents were deleted in Business Central, they continued to appear in the Expense App and Expense Portal history with their original status and amounts. You can no longer delete documents with history in Continia Online directly from Business Central. Instead, you must send them to the expense user for deletion.74788
General ApplicationThe stability of the Configured Fields setup page was improved. The page no longer resets its cursor position when opening and closing field detail cards, making it easier to configure fields without losing your place in the list.76370
General ApplicationCredit Card was renamed to Company Card.79513
General ApplicationThe Expenses, Mileage, Per Diems, and Expense Reports lists now have a simple and a full column view, following the Show More Columns / Show Fewer Columns pattern from the Business Central general journal. The simple view keeps the columns needed to review documents - user, dates, description, amount, status, approval, and comments - and hides less frequently used columns such as dimensions, job, tax, and configurable shortcut fields. Use Show More Columns to display all available columns and Show Fewer Columns to return to the reduced set. The lists open in the simple view, the choice is stored per user and per list and kept across sessions.79653
Mileages

The Mileage card and list were aligned with the other Expense Management document types:

  • The document title on the Mileage card now shows only the entry number and user name, without the vehicle code and description.
  • The approval action is now called Send for Approval on both the card and the list, where the card and list previously used different wording.
  • The Approvals action is no longer promoted in the action bar on the Mileage card and is now found under Related > Mileage, matching the Mileage list.
  • A Cancel Approval Request action was added to the Mileage list, mirroring the card.
  • The user Name and No. columns are now shown in the Mileage list.
  • The Attendees field on the Mileage card is now shown only when attendees are configured for mileage.
79944
Per DiemThe Type field on the Allowances page was deprecated and is no longer visible. On Per Diem Posting Groups, the Accommodation Allowance Code can no longer be changed after rates have been configured - delete the rates first or create a new posting group.77697
Per Diem

You can now calculate per diems with an explicit time zone, so the amount is the same no matter who opens or posts the document. Each per diem stores the time zone in which its times were captured, and the calculation uses that time zone to determine day boundaries. Departure and return times always show in the time zone where they were entered, rather than being converted to the time zone of the user viewing the document. This makes per diem amounts consistent for companies whose users, approvers, and travellers work across several time zones.
Turn the feature on with Enable time zone handling in Per Diem Setup when Enable Per Diem Destinations is active.
When the feature is enabled, the time zone is taken from the new Time Zone field on the departure country in Countries/Regions. It can be changed per document in Departure Time Zone and Return Time Zone on the Per Diem card, and in Arrival Time Zone on each destination, for trips that return to or pass through another country. If a time zone is missing, a validation comment on the per diem states that the amount may be calculated incorrectly.

69669
Per Diem

Meal deduction handling for taxable Per Diem amounts was updated to better align with local tax practices. For German and Danish companies, the full taxable Per Diem is now paid without meal deductions after the 3-month rule or 12-month rule is triggered.
A new setup option was added to control whether meal deductions reduce taxable rates in the standard Per Diem calculation.

76832
Per Diem

The Per Diem card and list were aligned with the other Expense Management document types:

  • The document title on the Per Diem card now shows only the entry number and user name, without the per diem group code and description.
  • The approval action is now called Send for Approval on both the card and the list, where the card previously used Send Approval Request.
  • The Approvals action is no longer promoted in the action bar on the Per Diem card. You can now find it under Related > Per Diem, which matches the Per Diems list.
  • A Cancel Approval Request action was added to the Per Diems list, mirroring the card.
  • The column order in the Per Diems list was changed, so the user, travel dates, description, and status columns come first, followed by the amounts.

Bug fixes

Functional areaDescriptionID
Card TransactionsIn the Card Transaction Inbox, when selecting a Continia user ID on an entry where the card wasn't linked to that user, an error occurred stating that the Continia User Company Card didn't exist. You can now link the card to the selected user directly, after which, the remaining unprocessed entries for that card are mapped automatically.80059
General ApplicationThe attachment counter in the Attachments FactBox on ledger entries and purchase documents did not update when switching between attachments. It now shows the correct position, for example 2 of 2 instead of remaining at 1 of 2.82606
General Application

The Name field on the Expense, Mileage, Per Diem, and Expense Report cards is now editable, so you can assign a user by typing a name instead of an ID. Type a full or partial name and it resolves to the matching Continia user, following the same behavior as the vendor name on a standard Business Central purchase invoice. When several users match, a list displays so you can pick one. The Continia User ID field is now located under Show more.Only users you are allowed to see are offered, so Expense User Delegation and Limit Document Visibility in Continia User Setup still apply. If nothing matches within that scope, the message states that no Continia user matching the entered text was found among your delegated users.
On the Continia User Setup Card, the Vendor Name and Employee Name fields are now editable with the same name resolution.

79363
General ApplicationOn the Expenses, Mileage, Per Diems, and Expense Reports lists and their posted counterparts, the amount column was placed too far to the right and required horizontal scrolling. The amount column now displays immediately after Description.79512
