Configuring send action visibility

By configuring the visibility of standard Send, Print, and Send by Email actions as well as the Document Output action group, you can specify whether to hide or display those actions on certain document pages. You can configure this either universally for all relevant document pages or specifically per document category. This high level of customizability enables you to help the right users focus on the right actions when sending and printing documents.

Note

This was previously managed in the Document Output Setup, which was more limited and didn't support configuration per category.

To configure send action visibility for all categories

To determine which standard Business Central send actions should be visible for all document categories, follow these steps:

  1. Search (Search) for and select Send Actions Visibility.
  2. Select the checkboxes for the actions that you want to hide:
    • Hide Standard Mail: Hides all standard Send by Email actions.
    • Hide Standard Print: Hides all standard Print actions.
    • Hide Standard Send: Hides all standard Send actions.
    • Hide Document Output Tab: Hides all instances of the Document Output action group.

The selected actions will now be hidden for all document pages that would otherwise include these actions in the action bar.

To configure send action visibility per category

To determine which standard Business Central send actions should be visible for specific document categories, follow these steps:

  1. Search (Search) for and select Send Actions Visibility.
  2. In the Document Group field, select the document category that you want to configure:
    • Finance: Applies your configuration to all relevant finance document pages.
    • Sales: Applies your configuration to all relevant sales document pages.
    • Purchase: Applies your configuration to all relevant purchase document pages.
    • Service: Applies your configuration to all relevant service document pages.
    • Jobs: Applies your configuration to all relevant project document pages.
  3. Select the checkboxes for the actions that you want to hide for the selected category:
    • Hide Standard Mail: Hides all standard Send by Email actions.
    • Hide Standard Print: Hides all standard Print actions.
    • Hide Standard Send: Hides all standard Send actions.
    • Hide Document Output Tab: Hides all instances of the Document Output action group.
  4. Repeat steps 2-3 for any additional categories that you want to configure.

For the selected categories, the selected actions will now be hidden for those document pages that would otherwise include these actions in the action bar.
